Who we are

Monkeymole Photography Limited, 7 Amber Close, Shirland, Derbyshire, DE55 6NB, registered with the Information Commissioner's Office as ZC268961. We're responsible for the personal information you give us. If you have any questions, or want to use any of the rights below, email hello@monkeymole.co.uk.

What we collect

  • When you enquire, whether on our website or through a form in one of our Instagram or Facebook ads: your names, email address, phone number if you give it, your wedding date and venue, and anything you tell us about your day.
  • When you book: what's in your contract and invoices, your payments, and the answers you give in your folio, such as your plans for the day, your timings and the people in your group photographs.
  • Your photographs and films, and anything you choose in your gallery.
  • Our emails to you record when they're opened and when a link in them is clicked.

Why we use it, and the law that lets us

  • To reply to your enquiry and, if you book, to photograph your wedding and deliver your gallery. This is to take steps towards, and carry out, our contract with you.
  • To keep accounts, as the law requires.
  • To run our advertising, which is our legitimate interest (more below).

Advertising on Instagram and Facebook

We give Meta (which runs Instagram and Facebook) the email addresses of people who've enquired with us or booked us. They're scrambled first, so Meta can only match them to people who already have an account. We do this for two reasons:

  • So our ads aren't shown to you. If you've already been in touch, there's no need.
  • So Meta can find people with similar interests to couples who are planning their wedding with us. Meta doesn't tell us who those people are.

If you came to us through an ad, we also let Meta know whether you went on to book a call or book us, so it can show our ads to people more likely to be interested. For this, Meta and we are joint controllers of your information.

You can ask us to stop at any time by emailing hello@monkeymole.co.uk, and we'll take you off these lists.

Who else handles it

We use these services to run the business. Each only uses your information to do its job for us:

  • Supabase (where our records are kept)
  • Vercel (our website and your folio)
  • Microsoft 365 (our email and calendar)
  • Cloudflare (where your photographs are stored)
  • Stripe (card payments; we never see your card details)
  • QuickBooks (our accounts)
  • Google Maps (finding your venue when you type it)
  • Anthropic (Claude helps us draft replies to your emails; we read every one before it's sent)
  • Meta (our ads, as above)
  • Our print lab, for any prints or albums you order

Some of these are based in, or store information in, the United States. Where they do, they're covered by the UK's data transfer rules.

How long we keep it

  • Your gallery: twelve months after it's delivered, unless you choose to keep it longer.
  • Contracts, invoices and payments: six years, as the law requires for company accounts.
  • An enquiry that doesn't go on to a booking: we keep it, because it can be years before someone gets in touch again, and we'd like to know we've spoken before. If you'd rather we didn't, email hello@monkeymole.co.uk and we'll delete it.

Your rights

You can ask to see what we hold about you, to have it corrected or deleted, to have a copy to take elsewhere, or for us to stop using it for advertising. Email hello@monkeymole.co.uk and we'll reply within a month.

If you're not happy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
